Hearts over Hands pairs student volunteers from Columbia University with families impacted by the COVID-19 pandemic. Student volunteers serve as mentors to children (aged 5-16 years old) of these families through video call sessions, which are coordinated between the parents and the volunteer. The video sessions are intended to provide social stimulation, homework help and tutoring, etc. to relieve the strain placed on these families. 

Hearts over Hands’ Privacy Policy (“Privacy Policy”) is meant to explain how Hearts over Hands collects, uses, and shares the information of the parents, student volunteers, or other users who partake in our services.

For the purposes of this Privacy Policy:

"We", "Us", or "Our" refer to Hearts over Hands
"Service" refers to the service provided by Hearts over Hands
"You" and "Your" refer to users including parents, student volunteers ("Big Sibs"), or any others who access our service
"Site" refers to the Hearts over Hands website

I. Your Information

A. What information do we collect and how do we collect it?
We collect only the information you provide us directly via our online intake forms.

For parents:
-
Your contact information (first and last name, email address, phone number, preferred language, internet access)
- Information regarding your family/children (the number of children needing assistance, their ages, what type of assistance that should be provided to them, and how COVID-19 has impacted your family)
- Scheduling needs (time zone, days and times during the day when assistance would be needed)

For student volunteers:

Your contact information (first and last name, university email address, phone number, internet access)Skills and qualifications (languages, subjects you are able to tutor)
- Matching preferences (preferred age group and number of children to be paired with)
- Scheduling needs  (time zone, days and times during the day when assistance could be provided)

B. How do we use your information?
For parents:
We use your information to pair your children with the volunteers best matched to their mentorship and scheduling needs. In this way, we can support you to the best of our abilities.

For student volunteers:
We use your information to pair you with families that we feel you would be the best suited for, given your availability, skills, and preferences.

Who do we share it with and what do we share?
For parents:
We share your email address and basic family information (number of kids, ages of kids, hobbies/interests of kids) only with the volunteer you are matched with. Hearts over Hands is not responsible for any information you choose to share with your volunteer after you are matched with them. However, student volunteers must sign an agreement ascertaining that they will not disclose any information about you or your children that they may learn from online video sessions. 

For student volunteers:
We share your name, email address as well as a general introduction about you only to the parents of the family you are matched with. Hearts over Hands is not responsible for any information you choose to share with the family after you are matched with them.

If we suspect any illegal behavior or any threats to the health and safety of any individuals, we reserve the right to share your information with the appropriate legal authorities so that the situation can be investigated and prevented. This applies to all users. We also may be required to share your information in response to legal orders (i.e. subpoenas, law enforcement or governmental requests). 

How can you update your information?

II. Third Party Sharing

What We Share to Third Parties
We currently do not directly share your information with any third parties. If we decide to change this in the future, we will notify you by email so that you can review a renewed policy before continuing to use our services.

What is Automatically Shared to Third Parties
The third party platforms used to build our site automatically store specific information about the visitors to our site on their web servers. This information includes the visitor’s Internet Protocol (IP) address, the date/time a visitor accesses the site, the user agent string that identifies the browser or operating system being used by the visitor, the visitor’s browser language and timezone, as well as the installed fonts, mime-types, Silverlight data, installed plugins, HTTP headers, and screen resolution the visitor is using. These third parties use this information for analytical and billing purposes. This information is not available to Hearts over Hands and we have no control over its collection. 

III. Personal Information of Children

We do not knowingly collect  information from children under the age of 13. Our site is intended for parents, not children. All the information we collect about children (number of siblings and age), regardless of their age, comes directly from their parents. 
If needed, parents have the right to review the information they have provided about their children, request the deletion of their child’s information, and revoke their consent of their children participating in our services. 

IV. How/Why We Would Contact You

For parents: 
We will contact you via email only for the following reasons:
- Matching your family with one of our volunteers
- Notifying you of any changes in our policies
- Providing you with additional information regarding our service
- Responding to any questions or concerns you may have regarding our service

If you no longer want us to contact you or you no longer need assistance from our volunteers, please email us at admin@heartsoverhands.org 
For student volunteers:
We will contact you via email only for the following reasons:
- Scheduling your initial screening interview and volunteer trainings
- Matching you with a family 
- Following up on video call sessions with families
- Notifying you of any changes in our policies
- Responding to any questions or concerns you may have regarding our servic

If you no longer want us to contact you or you no longer wish to volunteer, please email us at admin@heartsoverhands.org 
We will never use your personal contact information to send you any unsolicited information, nor will we share, sell, rent, or lease it to any third party for this purpose.

V. Future Changes to Privacy Policy 

In the event that we have to make changes to our Privacy Policy, we will notify you by email prior to finalizing any changes. We will give you the opportunity to review these changes before you continue using our services. Your continued use of our services after reviewing any changes to our Privacy Policy will indicate your compliance with such changes.
